Job Description

Part-time Bilingual Office Assistant (Spanish) opening with non-profit organization in Mission Valley.

This position facilitates key administrative support for the San Diego branch, working closely with staff, volunteers, members, donors and the public.
 
  • HOURS:  Part-time, approx 20 hours per week, between 9am-5pm Monday-Friday – with occasional evening and/or weekend shifts.
  • DURATION:  Temporary, ongoing for now.
  • WORKPLACE:  This is an in-office position, not remote. Office located in Mission Valley (92108).
  • PAY:  $24.00 - $26.00 per hour, depending on experience.
  • BENEFITS: Weekly payroll, direct deposit, online time entry, sick leave pay, and upon meeting eligibility: holiday pay, vacation pay and 401K plan

Job Duties will include, but are not limited to:
  • Answer and route phone calls; serve as primary contact via phone/email displaying a friendly, patient, professional demeanor.
  • Handle Spanish-language calls and emails, in addition to English.
  • Compose & send professional communications via mail and email with members and the public.
  • Maintain filing systems and retrieve/prepare records and summaries, process mail.
  • Respond to administrative inquiries and resolve issues.
  • Track donations, memberships, fees, and attendance.
  • Manage inventory and order office/marketing supplies.
  • Support and represent the organization at in-person events and on Zoom.
  • Process event registrations and assist with presentations as needed.
  • Perform other related duties and stay informed about the organization so as to accurately represent and respond to inquiries.

Requirements include, but are not limited to:
  • Minimum of 2 years’ experience in an office setting, including phone and/or face-to-face interaction with public.
  • Bilingual fluency; excellent verbal and written communication skills in English and Spanish.
  • Proficient with Microsoft Office, including Excel, PowerPoint & Outlook. Familiarity with Zoom. Type minimum 35wpm.
  • Excellent interpersonal and customer service skills, including effective listening and ability to rephrase and communicate in a polite, professional manner.
  • Regular and consistent attendance to agreed-upon shift, including flexibility for local evening and weekend events.
  • Ability to prioritize, multi-task, and meet deadlines.
  • Must be detail-oriented, organized, have a positive attitude and be willing to work in a collaborative setting, yet also take initiative as tasks require.
  • Must be sensitive to confidential correspondence/information and maintain strict confidentiality at all times.
  • Must have access to a vehicle and be willing to take packages for mailing or to local events when needed, including ability to lift up to 25 lbs.
  • High school diploma, or equivalent.
  • Verifiable references from recent work history.
  • Must be able to pass Background check and Drug screen requirements.
  • Work is performed in a typical interior/office work environment; must be able to sit and stand for extended periods of time.
  • Legal residents of California only. Visa Sponsorship not available. W2 only.
