Job Description

Immediate opening for Office Manager/Bookkeeper with established company in East County

Privately owned Engineering & Manufacturing company in El Cajon is seeking an experienced candidate with bookkeeping and office management background; position will manage daily administrative and accounting functions. 
  • HOURS:  Full-time hours, Monday-Friday 7:00am-4:00 or 8:00am-5:00pm
  • DURATION:  Temp-to-Hire (goal of Full-time hire after initial temp/probation period)
  • WORKPLACE:  In-office position in El Cajon.  No hybrid option.
  • PAY:  $30.00 to $35.00 per hour, depending on experience
  • BENEFITS:  This client company offers Health and Dental insurance (partial employer-paid), 401K with profit sharing participation, 8 paid holidays and paid time off.

Key Responsibilities include: Office Management:
  • Oversee the daily operations of the office, including incoming call handling as needed (minimal).
  • Serve as point of contact for internal and external customers, including follow-up on shipments and corresponding documentation.
  • Assist with trade show coordination, including sign-up, marketing materials, and travel arrangements for staff.
  • Organization of and ongoing maintenance of office files and documentation, ensuring confidentiality and security.
  • Assist in procedure creation as needed, including timekeeping transfer into QuickBooks.
  • Assist with ERP implementation and job order entry, ensure materials are ordered, received, and updated in system.
  • Assist with Certification reports; enter data and upload into ERP system.
  • Manage office supplies and equipment, including ordering and maintenance (ie. phone systems, alarm, Internet, etc).
Bookkeeping:
  • Manage all accounts payable and receivable functions, ensuring timely and accurate processing of invoices and payments.
  • Reconcile bank statements and credit card accounts monthly.
  • Review, prepare, and process weekly payroll, ensuring accuracy and compliance with relevant Labor Law regulations and deduction requirements.    
  • Generate financial reports, including balance sheets, income statements, and cash flow statements.
  • Ensure compliance with accounting policies, procedures, and regulatory requirements.
Human Resources Support:
  • Maintain employee records and ensure compliance with HR policies and procedures.
  • Administer employee benefits and assist with payroll-related inquiries.
General Administrative Support:
  • Handle incoming and outgoing mail and deliveries.
  • Maintain marketing lists, assist with event outreach emails.
  • Perform other duties as assigned to support the overall efficiency of the company.
Qualifications include, but not limited to:
  • Minimum 4 years experience as an Office Manager, Bookkeeper, or combination/similar roles.
  • Proficiency in QuickBooks and MS Office Suite (Word, Excel, Outlook). 
  • Experience with DropBox, Adobe Illustrator, and/or social media platforms a plus.
  • Strong understanding of bookkeeping principles and practices.
  • Excellent written and verbal communication skills, including ability to compose business correspondence.
  • Experience in an engineering or manufacturing environment is a plus.
  • High school diploma or equivalent required.  Associate’s or Bachelor’s degree in Accounting, Business Administration, or related field preferred.
  • Verifiable references from recent employment.
  • Must be able to pass Background check and Drug screen requirements.
  • Ability to use computer keyboard, sit in stationary position for extended periods of time, and able to walk facility as job duties may require.
