Administrative Assistant needed for immediate start with Accounting Services company in La Jolla

With a focus on client success and growth, you’ll support both internal staff and external clients in meeting their financial, accounting, and operational needs.  Temporary need for strong administrative support skills, with finance/accounting experience a plus.  Join a great team and enjoy workspace in a beautiful La Jolla office!
  • HOURS:  Full-Time Hours, Monday-Friday 8:00am-5:00pm
  • DURATION:  Temp-to-Hire (potential for Full-time hire after initial temp/probation period)
  • WORKPLACE:  This is an in-office position (no remote or hybrid option) located in La Jolla, CA (San Diego County)
  • PAY:  $23.00 - $25.00 per hour, depending on experience
  • BENEFITS:  Weekly payroll, direct deposit, online timecard portal, sick leave pay, and upon meeting eligibility: holiday pay, vacation pay and 401K plan.  Upon hire by client company, full benefits package available including medical insurance, PTO, holiday pay and 401K.

Job Duties will include, but are not limited to:
  • Provide varied administrative support to clients and internal staff members
  • Manage all incoming and outgoing client mail, generate USPS & FedEx labels as needed
  • Manage print job requests for client associates
  • Bank Account setup for client check printing, manage 2-factor authentications
  • Updating FOA Reporting Excel along with various client tracking spreadsheets
  • Process bank payments and statement requests, deposit client checks
  • Deliver mail to postal entities (within walking distance)
  • Support Office Admin as needed and, in their absence, work closely with internal team members to facilitate check processing, certified mail requests, mail coordination and front office support

Requirements include, but are not limited to:
 
  • At least 2 years’ experience with administrative support in an office environment, including client facing experience   
  • Banking, finance, and/or bill pay experience a plus
  • Advanced proficiency with office programs and databases, including MS Word, Outlook, PowerPoint, and Excel
  • Familiarity with QuickBooks (online or Desktop) preferred
  • Ability to work independently, manage tasks and meet deadlines
  • Excellent communication skills with solid interpersonal skills. Ability to provide professional customer service through various channels of communication
  • Must have a professional demeanor, be detail oriented, organized, highly ethical and have a positive attitude
  • Ability to multi-task and adapt to changing priorities
  • Bachelor or Associate’s degree preferred, HS Diploma/equivalency at minimum
  • Regular and consistent attendance as defined per Company policy
  • Ability to use computer keyboard and sit in a stationary position for extended periods as well as the use of office equipment such as fax and copy machines, and multi-line or Internet based phone systems
  • Must be able to walk/navigate moderate distance and outside elements to perform required errands (i.e. post office, bank, etc)
  • Verifiable references from recent employment
  • Must be able to pass Background check (including Credit check) and Drug screen requirements, including Credit check
  • Legal residents of California only. Visa Sponsorship not available. W2 only.
